Dental IT Support Vancouver | Tracker, Dentrix, ClearDent, ABELDent

Dental practices have their own IT rhythm. Imaging servers that must stay up during patient appointments. Practice management software that breaks after Windows updates. Patient records under PIPEDA and the College of Dental Surgeons of BC. Hexafusion supports Vancouver and Lower Mainland dental practices with practice-aware IT, 15-minute response times, and engineers who know dental practice management systems.

Dental imaging infrastructure

Imaging performance determines whether a dental practice IT environment works. A panoramic X-ray that takes 90 seconds to open is a clinical problem, not just a technical one. We build imaging infrastructure with the following in mind:

  • Panoramic and cephalometric. Sirona, Planmeca, Vatech, and Carestream units, configured with dedicated network paths and appropriate storage tiers.
  • Intraoral sensors. Dexis, Schick, XDR, and similar sensor bridges, with per-op driver management and USB stability.
  • 3D cone beam. CBCT volumes are large files. Dedicated storage, throughput-sized networking, and backup strategies that do not saturate your internet connection.
  • Image servers. SSD storage for active studies, HDD tier for archive, with nightly verification of image integrity.
  • DICOM and PACS. For clinics that use standards-compliant imaging, DICOM storage, query/retrieve, and integration with practice management.
  • Retention. BC patient imaging retention aligns with the record retention requirements set by the BC College of Oral Health Professionals, which require long retention periods for adult patient records and extended retention for records relating to minors. We configure your archive policy to your practice's current College standard.

PIPEDA and patient records

A BC dental practice holds some of the most sensitive personal information there is. That means specific obligations under the federal Personal Information Protection and Electronic Documents Act and, for matters within BC's jurisdiction, the Personal Information Protection Act of BC. The BC College of Oral Health Professionals (which consolidated the former College of Dental Surgeons of BC and related colleges in 2022) also prescribes record retention and professional practice standards. We operationalize these requirements so you do not have to.

  • Encryption at rest. Full-disk encryption on servers, workstations, and backups. BitLocker on Windows, hardware encryption on Dell Precision workstations we deploy.
  • Encryption in transit. TLS for all remote access, VPN with MFA for offsite logins, secure channels for practice-to-lab communication.
  • Access logging. Who viewed which chart, when, from which workstation. Retained for the period your privacy policy commits to.
  • Role-based access. Front desk does not need access to clinical notes. Hygienist roles, associate dentist roles, and admin roles separated.
  • Breach response. A documented procedure aligned with the Privacy Commissioner's guidance at priv.gc.ca.
  • Retention and secure disposal. We configure retention and deletion schedules aligned with the current BC College of Oral Health Professionals standards for patient records, with certificates of destruction for end-of-life drives. Confirm your practice's current obligations with the College at oralhealthbc.ca.

Workflow-respecting support

An IT problem during a crown seat stops the clinical workflow. We schedule our work around your clinic hours:

  • Patches and updates scheduled outside clinic hours, typically evenings and weekends.
  • Lunch-hour patch windows for fast fixes that cannot wait until evening.
  • Before/after photos of config changes so a problem can be rolled back inside minutes.
  • No surprise restarts. No "your computer needs to restart right now" during an appointment.
  • Pre-change validation on a staging workstation before production rollout.

Why Vancouver dental offices choose Hexafusion

Founded in 2020 by Alex Barari, a former PCI DSS Internal Security Assessor, Hexafusion was founded on the conviction that small and mid-sized businesses deserve the same quality of IT and security that larger enterprises get. Dental offices are a perfect example. You operate regulated, highly sensitive environments on tight budgets and tighter schedules. A generic managed IT provider does not work for dental practices. Our engineers are Microsoft, Cisco, and CompTIA certified, we are a Dell authorized partner for hardware procurement, and we are headquartered at 250-997 Seymour St in downtown Vancouver, a short drive from most Lower Mainland clinics.

We work alongside your practice management vendor, not around them. We document everything. We do not make changes without telling you. When a problem recurs, we look for the root cause rather than closing the ticket and waiting for the next one. That is practice-aware IT.

Common dental-office issues we fix

  • Practice management slowness. Often the database, often indexing, often backup jobs running during business hours. We profile and tune.
  • Imaging server delays. Disk saturation, network hairpins, or antivirus scanning image folders. All solvable with the right configuration.
  • Networked X-ray sensor dropouts. USB power management, driver conflicts, or switch misconfiguration. We fix the root cause, not the symptom.
  • Remote Desktop and Citrix for multi-op. Sizing, licensing, profile redirection, and printer mapping that actually works.
  • Backup failures. Many clinics run with a quiet backup failure for months. We audit, fix, and validate with test restores.
  • Windows updates breaking software. Controlled patch deployment with a known-good baseline, rollback plan, and vendor-approved update schedules.

Frequently Asked Questions

Do you work with our existing dental software vendor?
Yes. We coexist with practice management vendors. Application bugs escalate to Tracker, Dentrix, ClearDent, ABELDent, Open Dental, Curve Dental, or Maxident. Infrastructure, network, and workstation issues are ours.

Can you coexist with a dental software vendor support contract?
Yes. Most Vancouver dental offices keep the software vendor contract for application issues and hire us for the IT surrounding it. We have standard handoff patterns for each major platform.

Do you handle dental insurance software integrations?
Yes. We support claims and EFT workflows in your practice management software, including CDAnet and ITRANS connectivity.

What about HIPAA if we see US patients?
If your practice sees US patients, HIPAA obligations may apply on top of PIPEDA. We configure encryption, access logging, and audit trails that meet both, and document the controls for your compliance file.

How do we comply with PIPEDA for patient records?
Encryption at rest and in transit, access logging, role-based permissions, a written privacy policy, breach response procedures, and appropriate retention. We implement and document each control.
