Manufacturing

From Break-Fix Frustration to a Fully Managed, Scalable IT Environment

30 users
Manufacturing
Ongoing managed IT
Metro Vancouver, BC

A growing manufacturing company had an IT provider on paper, but in practice, they were largely on their own. Support was inconsistent, response times were slow, and staff regularly had to troubleshoot their own problems just to keep production moving. Aging workstations that were no longer manufacturer-supported were causing recurring failures, and nobody had a plan to address them.

Hexafusion started with a full environment assessment and immediate stabilization. We identified the most problematic systems, addressed urgent issues, and built a phased hardware replacement plan so the client could modernize without a single large capital outlay. As new equipment arrived, we handled all on-site deployments, workstation setup, software configuration, and Microsoft 365 setup, including secure data removal and responsible recycling of retired devices.

When the business outgrew its office and relocated, Hexafusion managed the full IT move - servers, switches, firewall, workstations, and wireless access points - ensuring staff were operational from day one in the new space. Post-move, we deployed a new domain controller, implemented Active Directory for centralized authentication, and replaced aging switches with Cisco business-class hardware. We also reorganized the server room, cleaned up rack cabling, replaced failing UPS units, and upgraded network cabling throughout the facility.

Throughout the engagement, we supported Windows desktops, laptops, tablets, and a wide range of operational peripherals including printers, scanners, and receipt printers. Where needs fell outside our direct scope, we recommended trusted third-party solutions rather than forcing the wrong fit.

Break-fix to managed IT Phased hardware replacement Active Directory deployment Full office relocation Cisco network upgrade Server room rebuild Microsoft 365 setup UPS replacement
The client went from a reactive, unreliable IT environment to a stable, documented, and properly managed infrastructure. Staff have dependable day-to-day support, old hardware has been replaced without budget shock, and the business continues to grow without IT becoming a bottleneck.
Healthcare

From a Slow, Distant IT Provider to a Local Partner Who Modernized Everything

Healthcare practice
Mac environment
Metro Vancouver, BC

A healthcare practice was working with an IT provider that was neither local nor responsive. Day-to-day issues took too long to resolve, and the practice was managing several business-critical websites and an appointment booking system on its own. Email ran on an aging hosted Exchange platform, and the team had no modern collaboration tools in place.

Hexafusion took over as the single point of contact for all technology needs. We deployed a new firewall, switch, and wireless access points, then reorganized the office network so all systems operated reliably. Web hosting, domain registrations, and renewals were brought under our management so nothing fell through the cracks.

The most significant improvement was migrating the practice from hosted Exchange to Microsoft 365. This was not just an email move - it introduced Microsoft Teams, OneDrive, and SharePoint to a team that had never had cloud collaboration tools before. Staff gained shared file access, internal chat, and modern communication capabilities as part of daily operations. Because the team worked primarily on Mac computers, all support and configurations were tailored to their environment.

Hosted Exchange to Microsoft 365 Mac environment support Firewall + switch + WAP deployment Web and domain management Teams + OneDrive + SharePoint Appointment system support
The practice went from reactive, slow IT support to a modern cloud-based environment managed by a local team who understands healthcare operations. Staff communicate better, files are accessible from anywhere, and the practice has a single IT partner for infrastructure, cloud, and web.
Pharmaceutical

Supporting a Fast-Growing Research Organization Across Two Countries with Co-Managed IT and SOX Compliance

SOX IT audit delivered
Co-managed IT model

A pharmaceutical organization focused on cancer research was growing rapidly across operations in both Canada and the United States. They had an internal IT manager but needed additional technical capacity to execute deployments, support end users, and manage an increasingly complex Microsoft 365 and on-premise environment. They also needed support with compliance-related IT requirements as a publicly listed company.

Hexafusion integrated directly alongside the client's internal IT manager as a co-managed extension of the team. This allowed the internal lead to stay informed and in control while Hexafusion handled execution - workstation and laptop preparation, on-site deployments, desk setups, phone system configuration in Microsoft 365, and day-to-day user support across Windows and iPhone devices.

A major milestone was the migration from a traditional file server to Microsoft 365 SharePoint. Hexafusion built out the full folder structure, assigned permissions based on user roles, and configured access controls so the organization could operate in a fully cloud-based, collaborative environment. Remote access was also deployed during the shift to hybrid work, then later modernized to a more user-friendly solution for non-technical staff.

For the client's U.S. locations, Hexafusion provided remote support directly and coordinated with trusted local partners when on-site work was required - giving the organization consistent IT coverage across borders without managing multiple vendors.

Hexafusion also delivered a SOX IT general controls (ITGC) audit report to support the client's compliance obligations as a publicly traded company, covering access controls, change management, audit logging, and backup integrity.

Co-managed IT model File server to SharePoint migration SOX ITGC audit report Cross-border IT support Remote access deployment Network + switch upgrades Boardroom AV setup Microsoft 365 administration
The organization now operates in a cloud-first, well-structured IT environment with consistent support across Canada and the U.S. Their SOX IT audit obligations were met with a documented controls report, and their internal IT manager has an execution partner to rely on for deployments and operational support.
Software

A Secure, Stable Infrastructure for a Development Team That Cannot Afford Downtime

Software company
Hybrid on-premise + M365
Metro Vancouver, BC

A software company needed an IT partner that could support both a local server-based infrastructure and a Microsoft 365 environment used daily by developers, designers, and operations staff. Security was a top priority - the business handled sensitive development assets and internal systems that required protection at both the infrastructure and endpoint level. Staff also needed higher-performance hardware to support demanding workloads.

Hexafusion took responsibility for the server room environment and the network infrastructure surrounding it. We deployed and managed network switches, maintained the stability of core systems, and kept the hybrid environment running reliably across local and cloud services including Microsoft Teams.

To improve performance for developers and designers, we upgraded workstations across the team - replacing hardware that could not keep pace with modern development and design workloads. Security improvements were implemented at both the digital and physical level, including endpoint protection across workstations and servers, and the deployment of a building-wide security camera system to strengthen physical access monitoring.

Server room management Developer workstation upgrades Network switch deployment Physical security cameras Endpoint protection Microsoft 365 + Teams Hybrid IT environment
The development team now works on hardware that matches their needs, the server room and network are properly managed, and the business has both digital and physical security in place. IT is no longer a source of friction for a team whose entire output depends on technology working reliably.
Dental

A Dental Practice That Opened Its Doors with a Complete, Professionally Managed IT Environment from Day One

9 staff
5 operatories
Full ground-up buildout
Metro Vancouver, BC

A dental practice was opening from scratch and needed a complete technology environment built before the first patient walked through the door. There was no existing infrastructure to build on - everything needed to be planned, sourced, installed, and configured correctly from the ground up, including clinical imaging equipment that had to integrate with the practice management system.

Hexafusion managed the full IT buildout from planning through opening day. This included purchasing and deploying office computers, installing operatory monitors in all five treatment rooms, and mounting televisions throughout the practice including reception and patient-facing displays. A server was deployed to support the practice management application (Tracker), and the full office network was built including wireless access points, a phone system, security cameras with remote access, and printers.

Microsoft 365 email was configured for the full team. Clinical imaging was a critical component - Hexafusion connected and configured both the digital X-ray system and Panoramic imaging equipment to the practice network and integrated them with the practice management workflow. This required careful attention to device compatibility, network configuration, and software integration to ensure clinical tools worked reliably from day one.

Once the practice was open, Hexafusion continued as the managed IT partner - handling Windows patching, security updates, printer support, practice management application support, and day-to-day troubleshooting for the clinical and administrative team.

Full practice IT buildout 5 operatories configured Digital X-ray integration Panoramic imaging setup Tracker practice management Phone system + security cameras Microsoft 365 setup Ongoing managed support
The practice opened on schedule with a complete, professionally built IT environment across clinical and business operations. Clinical imaging was fully integrated from day one, and the team has had a consistent managed IT partner for ongoing support, patching, and practice management application assistance ever since.
Financial Services

Three Companies, One IT Partner, and a Seamless Office Relocation

Security awareness training
Metro Vancouver, BC

A financial services group operating three related companies in the finance and insurance space needed a single IT partner to manage a shared environment of 30 users, a server-based infrastructure, and Microsoft 365 services. The business depended heavily on technology for daily operations, so consistent support and quick issue resolution were non-negotiable. The group also had a major office relocation on the horizon that needed careful planning and execution.

Hexafusion became the day-to-day IT partner for all three companies - resolving end-user issues, handling printer and network problems, and maintaining the overall stability of the environment. When the office move came, we planned and deployed the full network infrastructure for the new location: firewall, switches, and multiple wireless access points across the entire floor, along with structured cabling to give the business a clean and reliable physical foundation.

Because the organization operated in regulated financial and insurance sectors, Hexafusion also delivered security awareness training and simulated phishing exercises to reduce human risk and strengthen staff readiness. Microsoft 365 and SharePoint were managed as part of ongoing support throughout the relationship.

Multi-company IT support Full office relocation Firewall + switches + WAPs Structured cabling Security awareness training Microsoft 365 + SharePoint
The office relocation was completed with minimal disruption to business operations. All three companies now operate from a clean, professionally cabled network environment with a single responsive IT partner across user support, infrastructure, cloud, and security.
Hospitality

24/7 IT Support for a 400-Person Hospitality Operation with Zero Tolerance for Downtime

~400 staff
24/7 support
30+ wireless access points
SD-WAN + dual firewalls

A large hospitality organization with roughly 400 staff needed IT support that matched the pace of a 24/7 operation. Their infrastructure was complex - multiple servers, SD-WAN connectivity, more than 30 wireless access points, multiple switches, and dual firewalls configured for redundancy. In a hospitality environment, technology problems surface immediately in guest experience. The business needed both hands-on local support and the depth to handle high-volume issue days without delays.

Hexafusion provided a hybrid support model: on-site helpdesk presence backed by a remote team, giving the client both immediate physical access and additional capacity when multiple issues needed to be handled simultaneously. Support covered day-to-day user issues, printer and Wi-Fi troubleshooting, network incidents, and infrastructure maintenance across the full environment.

Because the organization operated around the clock, Hexafusion delivered 24/7 support coverage so critical systems could be addressed at any hour. Beyond reactive support, we assisted with infrastructure upgrades over time - network improvements, switching and firewall support, and wireless reliability across the property. Hardware and software procurement was also managed through Hexafusion, giving the client a single trusted source for both support and technology sourcing decisions.

24/7 IT support On-site + remote hybrid model SD-WAN management 30+ access points Dual firewall environment Network upgrades Hardware + software procurement Multi-site coverage
A hospitality operation of this scale demands IT support that moves at the same speed as the business. Hexafusion's on-site and remote hybrid model gave the organization consistent coverage across a large, always-active environment - with the infrastructure reliability and 24/7 responsiveness that a guest-facing operation requires.
